Grant Opportunity Process Step by Step

1. STEP ONE - RESEARCH. Find some funding opportunities. Databases we subscribe to for searching: Instrumentl, Candid, and GrantStation.

 

2. STEP TWO - POSSIBILITIES. Add grant possibilities you’re still researching to the Grant Opportunity Board in one of the categories below. Assign your name to it and add any application links or other details you have including due dates and amounts.

 

  • Meeting request: Add pertinent information to the board, assign your name, and document the date you contacted the funder.
  • Pre-Solicitation - this is still just an idea that you are researching.

 

3. STEP THREE - RESEARCH. Determine whether the your grant possibility is a good fit for NumFOCUS or your project through examining the eligibility requirements, application process, and dues dates directly from the funder. Use the Grant Opportunity Questionnaire to think it through.

 

4. STEP FOUR - PITCH IT. If you believe this opportunity is a good one after researching and reviewing the detail, move it to the UPCOMING (FOR BID REVIEW) category of the Monday Board.

 

  • Add a link to your Grant Opportunity Questionnaire
  • Add a link to the Grant Budget Template, if you’ve filled it out
  • All UPCOMING opportunities will be discussed at the Thursday Grant Meetings. You will pitch your opportunity internally for a GO/NO GO decision.

 

5. STEP FIVE - APPLICATION. The Grants Manager will create a proposal document per funder guidelines and review the budget draft documents. The opportunity is moved to CURRENTLY APPLYING in the Monday Board.

 

  • The board will contain the proposal and budget links.
  • Set up meetings with Erin and Mir to review the proposal and budget. Add anyone who needs to be part of the proposal process to review.
  • Complete any edits or additions to the proposal at least FOUR DAYS before the due date.

 

6. STEP SIX - SUBMISSION. The Grants Manager or Finance Director (as AOR for federal grants) will submit the final application and move the application to APPLIED/COMPLETE in the Monday Board.

 

7. STEP SEVEN - RESPONSE TRACKING. The Grant Manager will track funder responses and move the application to the appropriate category when received (Grants Won/Cancelled/Did Not Materialize). Regardless of the outcome, we will notify the applicant of the outcome and next steps.
